How to Add Page Numbers to a PDF for Free
The auditor asked which page the clause was on. Three of us stared at a 90-page contract with no numbers, and nobody could point anywhere.
Page numbers are the cheapest professionalism upgrade a document can get. I once watched a contract review stall for twenty minutes because "the page about indemnity" meant something different on each person's printout. Five minutes of numbering would have prevented it.
How Do I Add Page Numbers to a PDF for Free?
Fastest way: a browser-based tool — no software, no account. Here's the exact process with ours:
- Open our free Add Page Numbers tool. It runs entirely in your browser — your file never leaves your device.
- Drop in your PDF and you'll see a preview of the first page.
- Pick the position. Bottom-centre is the standard. Bottom outer corner suits double-sided printing, where the binding eats the middle.
- Choose the format: "1", "Page 1", or "Page 1 of 10" — see below for which to pick.
- Set the starting number and page range (defaults: start at 1, number everything).
- Download. The numbers are baked into the file — they print and show in every viewer.
Which Format: "1", "Page 1", or "Page 1 of 10"?
The question nobody answers, and it matters more than you'd think:
- "1" (bare numbers) — casual documents: drafts, e-books, reading copies. Clean and minimal.
- "Page 1" — reports and proposals where the number must stand out in a busy footer.
- "Page 1 of 10" — contracts, filings, board packs, anything referenced in meetings. The "of 10" is a missing-page alarm: if page 7 vanishes from a signed set, everyone spots it instantly.
My pick for anything serious: "Page 1 of 10". Three characters that settle more arguments than any clause I've numbered.
How Do I Skip the Cover Page?
"Page 1" on the title page looks amateur. Either number the range (pages 2–40, so page 2 becomes "1"), or split the cover off with our Split PDF tool, number the rest from 1, and merge the cover back. Our split-pages guide has the mechanics.
Can I Start Numbering at 25?
Yes — and this is the use case everyone forgets. When a PDF continues a larger packet (annex B follows a 24-page report), numbering from 1 creates two "page 1"s in the same bundle. Set the starting number to 25 and the numbering continues without a break.
What About Roman Numerals?
Most free tools can't stamp i, ii, iii — only plain decimals. Leave front pages unnumbered and start the body at 1. Don't fake it by typing "iv" as a starting number; it won't increment.
Is This the Same as Bates Numbering?
No — confusing the two is a classic legal-doc trap. Bates numbering is a litigation stamp: a matter prefix plus fixed-width padding on every page, cover included (ACME-000123, ACME-000124…). Page numbers are plain sequential labels for navigation. If someone asks you to Bates-stamp a production set, a page-numbering tool won't cut it. (Documentesign explains when each applies.)
What If the PDF Already Has Numbers?
Check before you stamp — scroll through ten pages. If numbers are already there, stamping a second set makes a mess. Either keep the originals, or cover them first: our watermark guide shows how to place an opaque strip over an existing footer, then number cleanly.
Which Method Is Best?

| PDFInToWord's free tool | Free | No | Yes | Cover-skip and range options |
| Word (convert → number → export) | Free-ish | No | No | Roman numerals, styled headers |
| Desktop editors (PDF-XChange etc.) | Free/paid tiers | No | No | Offline batch numbering |
For the straightforward case: the browser tool — no install, no account, a minute of work. For anything confidential, ours wins on privacy — see whether uploading PDFs is safe.
Common Headaches
Footer collisions: busy footers swallow numbers — put them in the margin or an outer corner, and check print preview before sending.
Password-protected PDFs: open with the password first, then number it — most tools can stamp the file while it's open.
Scanned PDFs: numbers stamp over scans fine — they're overlaid as text. Just keep them clear of handwriting in the margins.
Five minutes of numbering turns pages into a document people can discuss. Open the page-numbering tool, pick your format, and skip the next "which page are you on?" meeting.
Frequently asked questions
Can I skip the first page when adding page numbers to a PDF?
Yes — number the range (pages 2–40), or split the cover off, number the rest from 1, and merge the cover back unnumbered.
Should page numbers be "Page 1 of 10" or just "1"?
For contracts, filings, or meeting handouts, use "Page 1 of 10" — a missing page is immediately obvious. Bare numbers suit casual reading.
Will the page numbers print, or only show on screen?
They print. The numbers are drawn into the page itself as text, so they appear in every viewer and on every print — unlike viewer-only headers.
Can I use Roman numerals for PDF page numbers for free?
Most free tools stamp plain decimals only. Leave front pages unnumbered and start the body at 1, or use a desktop editor with i, ii, iii prefixes.
